Customer Follow-Up & Booking System

A system that catches every customer enquiry, replies instantly on your behalf, keeps chasing until someone responds, and shows you every lead and job on one simple screen. Built for any service business that quotes or schedules a job before doing it.

Problems this solves

If more than one of these sounds familiar, this is the right page.

  • errorEnquiries arrive after hours and go cold before you can answer them.
  • errorYou meant to follow up with somebody last week and it slipped.
  • errorCustomer details are spread across your phone, your email and a notebook.
  • errorYou cannot say how many people asked about your service last month, or how many booked.
  • errorYou are doing the job and doing the admin, and the admin always loses.

How I approach it

Most small service businesses do not lose customers because of price. They lose them because somebody else replied first.

An enquiry arrives at nine in the evening, or while you are already on a job. By the time you get to it, that customer has messaged three other people and booked whoever answered fastest. Nothing about that is a failure of effort — you cannot be holding a phone and doing the work at the same time.

This is the system that answers for you. Enquiries come in from your website, your email and your business line and land in one place. The customer gets a reply within seconds, written in your words, confirming you have got their request and what happens next. If nobody has followed up properly within a few hours, the system nudges the customer and reminds you, and keeps doing it until one of you responds.

Behind that sits a dashboard built for someone who has no interest in dashboards: who asked, what they wanted, what stage they are at, and which enquiries became paid work. You can open it on your phone between jobs.

What you get

  • checkOne inbox that collects enquiries from your website, email and business line
  • checkAn instant, personalised reply sent to every enquiry, day or night
  • checkAutomatic reminders that chase the customer and nudge you until someone responds
  • checkA simple dashboard showing every lead, its stage, and whether it became paid work
  • checkBooking or appointment requests captured with the date, address and job details
  • checkText and email templates written in your voice, which you can change yourself
  • checkA monthly summary: enquiries received, replied to, and won
  • checkA walkthrough in plain language, and a month of support after handover

How the work runs

The order matters — each step exists because skipping it causes a specific, predictable problem later.

  1. 01

    We talk about your week

Twenty minutes, free. How do enquiries reach you now? What happens to them? Where do things get dropped? I need to understand your day, not your technology.

  2. 02

    You get a fixed price

Within two working days: one page setting out exactly what I will build, what it costs, and the date it will be done. One price, agreed before any work starts.

  3. 03

I write the replies with you

The automatic messages go out in your name, so they have to sound like you. We draft them together and you approve every one before it is ever sent to a real customer.

  4. 04

It runs quietly for two weeks

Before it handles anything on its own, I watch every enquiry it touches and adjust the timing and wording. You see everything it sends.

  5. 05

Handover and a month of support

I show you the dashboard in person, in plain language, and stay reachable for a month at no extra cost. Everything I build belongs to you.

Questions I get asked

Do I need to be good with computers to use this?arrow_outward

No. If you can use WhatsApp you can use this. The dashboard is one screen with a list on it, and I will sit with you until you are comfortable. The point of the system is that it works while you are not looking at it.

Will customers know they are talking to an automatic reply?arrow_outward

The first reply confirms you have received their request and tells them when to expect a real answer. It never pretends to be you having a conversation, and it never quotes a price or commits you to anything. Every template is written and approved by you.

What kind of business is this for?arrow_outward

Any business where a customer asks first and you quote or schedule before doing the work: cleaners, movers, plumbers, electricians, notaries, photographers, tutors, repair and inspection services, clinics, salons and consultants. The wording, the fields and the timing are set up around your trade; the system underneath is the same. If you are not sure yours fits, describe how enquiries reach you today and I will tell you straight.

What does it cost to keep running each month?arrow_outward

There are small running costs for hosting and for sending messages, and I will show you the real numbers before you commit rather than a vague estimate. For most small businesses it is in the range of a few coffees a month. You pay those providers directly, not me.

What if I already have a website?arrow_outward

Then we keep it. The system can attach to a website you already have. If your site is the reason enquiries are not arriving in the first place, I will tell you that and we can deal with it separately.

How long does it take to set up?arrow_outward

Two to four weeks for most businesses, from the first call to it running on its own. You will see a working version you can try within the first week.
